A Google Workspace subdomain is a domain that is created as a subset of an existing domain, using the same root domain but with a different prefix or subdomain name. In Google Workspace, subdomains are often used to create separate environments for different departments or teams within an organization.
Note that creating a subdomain in Google Workspace requires ownership and control of the root domain, as well as the ability to create DNS records and make other configuration changes.
Some common use cases for Google Workspace subdomains:
Team or department-specific email domains: By creating subdomains for specific teams or departments, organizations can better organize their email communications and make it easier for users to identify the source of emails.
Regional email domains: Organizations with multiple locations or branches can create subdomains for each location, such as us.example.com or eu.example.com.
Custom branding: Subdomains can also be used to create custom email domains that reflect an organization’s branding, such as sales.mybrand.com or support.mybrand.com.
Separate administrative control: Google Workspace subdomains can also be used to give different teams or departments separate administrative control over their email accounts, allowing them to manage their own users, groups, and settings.
To create a subdomain in Google Workspace, follow these steps:
- Log in to your Google Workspace account with the administrator username and password.
- Click on the Admin Console icon.
- From the Admin Console, navigate to “Account”.
- Click on the “Domains” option.
- Click on the “Manage domains” option.
- Click on “Add a Domain or a Domain Alias”.
- In the “Add a Domain or a Domain Alias” window, enter the name of the subdomain you want to create.
- Click “Continue” and follow the prompts to verify ownership of the domain.
- Add the TXT record provided by Google Workspace to your domain cPanel for domain verification.
- Once the domain ownership is verified, you will be able to use the subdomain for your Google Workspace services such as Gmail, Google Drive, etc.
You will need to create DNS records for the subdomain with your DNS provider to point to the Google Workspace servers. The specific DNS records required can be found in the Google Workspace Admin Console under “Domains”.
To remove a subdomain from the Google Workspace Admin Console, follow these steps:
- Log in to your Google Workspace Admin Console with the administrator username and password.
- From the Admin Console, navigate to “Account”
- Click on the “Domains” tab in the left-hand menu.
- Click on the “Manage domains” option
- Find the subdomain you want to remove and click on it.
- Click the “Remove” button near to the subdomain
Note that removing a subdomain from Google Workspace will permanently delete all associated data and settings, including user accounts, email, and data stored in Google Drive and other Google Workspace services. Make sure that you have backed up any important data before removing the subdomain.
